Vom Workshop zu Wireframes: Neugestaltung des Grader-Services

Digital administrative processes rarely originate in a single location. Recognition management requires collaboration among various service units, legal frameworks and technical systems.
While the recognition portal for students was designed in cooperation with the University of Vienna, the internal administration tool within TISS was set up at TU Wien. Our task was to map out a complex process for administrative personnel at dean's offices, admissions office and deans of academic affairs in a concise and transparent way.

Before developing solutions, we needed to understand how recognition requests are actually processed. We conducted workshops with various service units in order to analyse existing processes, identify pain points and clarified responsibilites.
Through process mapping, user flows and service blueprints we developed a shared understanding of the entire recognition process - the basis for all subsequent design decisions.

The challenge was to bring together the requirements of various user groups into one shared workflow. Rather than optimising individual interfaces, we developed clear roles, transparent statuses, and comprehensible handovers between the service units involved.
This resulted in a working environment that supports both collaboration and the workflow stucture.

This project demonstrates that effective UX-Design goes beyond just interfaces. User-centered workshops and an iterative design process have resulted in a plattform that helps to understand administrative processes, reduces the need to switch between systems and enhances collaboration between the dean's offices, the admissions office and the deans of academic affairs.
