Mail distribution and mass mailings

Please note that to prevent spam attacks, we have introduced a limit on the number of mailings that can be sent and therefore automatically block accounts if they are sent to too many recipients. In the case of mass mailings, please do not use your upTUdate account, but one of the mail sending mechanisms mentioned below.

Mail distribution list

  • Description:
    Certain "roles" or additional functions can also be used as mail distribution lists by sending a mail to <distributor name>+<institute number>@tuwien.ac.at, which is then distributed to all persons of a structural element (organizational unit) assigned to this role or additional function. The prerequisite is that this email address is unique and that there are (possibly several) email delivery addresses or owner persons. secretariat+e020@tuwien.ac.at
  • Send to list:
    Possible from any email address
  • Description:
    Functional accounts are used to display functions independently of individual persons. The participants of a group announced to TU.it have access to such an account by means of their own user name/password combination. You can also send emails from a functional account.
  • Send to list:
    Possible from any email address
  • Send from this address:
    Sending from the functional account E990.myfuncacc (to which all members of the upTUdate authorization group E990.mygroup have access via Outlook/Thunderbird) is possible
  • Members:
    All members of authorization group E990.mygroup
  • Creation:
    Creating an upTUdate group, a functional account, and a TISS mailing list by address manager
  • Description:
    upTUdate authorization groups can be used as email distribution lists. Emails addressed to the group are stored in the mailboxes of all members of the group. If desired, the individual participants can also send emails under the group address ("Send as" right). Using an upTUdate authorization group as email distribution list
  • Send to list:
    Possible from any email address
  • Send from this address:
    If desired, the "Send as" right can be set
  • Members:
    All members of authorization group E990.mygroup
  • Creation:
    Creation of an upTUdate group and a TISS mailing list by address manager

Mailing list

  • Description:
    A TISS mailing list can be created by an address manager. The list can also contain persons who do not belong to the address manager's organizational unit.
  • Send to list:
    Possible from any email address
  • Send from this address:
    Not possible
  • Members:
    Any, even TU-external
  • Creation:
    Creation of a TISS mailing list by address manager
  • Description:
    Via our mailing list server you can set up, manage, moderate or unsubscribe your own mailing lists
  • Send to list:
    Open/restricted, as provided by the list owner in Sympa config
  • Send from this address:
    Not possible, but the list address can be configured as Reply-to address
  • Members:
    Any, even TU-external
  • Creation:
    Creation of a mailing list by electronic request of any registered* TU.it user Sympa Listserver (request is handled by TU.it).
    * Initial registration by email or web with any email address. A link will be sent to this email address with the request to choose a password

TISS multiple address message

Moderated: By a person with release authorization

  • Description:
    Via TISS (realm organisation) the sending of an email to a relatively freely selectable group of addressees (all managers, all secretariats, all in the favourite street, ...) can be initiated. Individual recipient lists can be created from filter rules (for staff and students).
  • Sender address:
    Name and email address of the sender freely selectable
  • Comment:
    No mailing list. Recipient list is determined individually from the sender selection.
  • Registration:
    For sending registration via TISS is required.
